Setup, Login, and Navigation

How do I log in?

Open PourIQ and enter the email and password your manager set up. Once logged in, you land on the Home dashboard. PourIQ runs best as an installed app. On iPhone, tap Share then Add to Home Screen. On Android, tap the install prompt or open Menu then Install App.

First-time setup for managers

Run through these five steps in order and you will be operational in an hour.

  • Import your inventory. Use Tools, Import, CSV or add items manually from each category tab.
  • Set par levels. Tap an item, Edit, set the Par field. This is your minimum stock level.
  • Configure shift schedule. Tools, Manager, Shift Schedule. Start and end times for each day.
  • Enable BTG wines. Wine, By the Glass, Bulk Manage. Check the wines you pour by the glass.
  • Add your team. Tools, Manager, Team. Create an account for every staff member.

Wine Hub, Inventory, and Adjustments

What is the Wine Hub?

The Wine tab is your central hub for all wine operations. Quick stats at the top show total wine items, BTG bottles open, and pours today. Managers see Quick Count, Smart Count, Team Count, and By the Glass tools. Staff see Join Count and By the Glass view access. Any count launched from the Wine tab is filtered to wine only.

How do I browse wine inventory?

Below the tool cards, inventory is organized by case. Tap a case to expand. Search by name, varietal, or description. Tap varietal buttons to filter. Each case shows item count, total bottles, out of stock count, and low stock count.

How do I adjust wine quantities?

During an active shift, tap minus one or plus one on any item card. Managers get plus six and plus twelve buttons for receiving stock, plus a custom amount input. To add a new wine, tap Add Wine and fill in the name, varietal, vintage, case, cost, and par level.

Beer Inventory and Keg Tracking

What does the Beer Hub show?

The Beer tab shows total beer items and kegs on tap at the top. Managers get Quick Count, Smart Count, Team Count, and Kegs tools. Staff get Join Count and View Kegs. Counts launched from this tab are filtered to beer only.

How do I tap a new keg?

Go to Beer, Kegs, Tap New Keg. Select the beer, keg size (sixtel, quarter, half barrel), tap number, and cost. The keg appears with a fill gauge and live stats.

How do I record keg pours?

Each keg card has four pour buttons: Pint, Half, Taster, Growler. Tap one every time you pour. The fill gauge updates in real time. Kegs auto-kick when less than one pint (16 oz) remains.

What keg stats does PourIQ show?

Pints remaining. Color coded green, orange, red. Days on tap. How long since the keg was tapped. Yield percentage. How much you actually poured vs wasted. Cost per pint. Based on keg cost and pours to date.

Spirits, Recipes, and Tenthing

What is the Liquor Hub?

The Liquor tab is your home for spirits. Managers see Quick Count, Smart Count, Team Count, Recipes, Tenthing, and Liquor Audit. Staff see Join Count and Recipes view access. Counts from this tab are filtered to liquor only.

How does tenthing work?

Tenthing lets you visually estimate bottle fill in tenths, from 0.1 to 1.0. Much faster than guessing exact ounces. Go to Liquor, Tenthing. For each bottle, tap the fill level on the 10-segment bottle graphic. Enter any full sealed bottles in the number input. Save. Total equals full bottles plus partial level.

Sort options include By Spirit (groups vodka, tequila, gin, whiskey, rum with brands alphabetical inside each group), By Case, and By Name.

How do recipes and cocktail costing work?

Browse cocktail recipes with ingredients, costs, and prep instructions. Managers can add custom recipes. Ingredient costs pull directly from your inventory prices. The Matrix tab classifies recipes as Stars (popular and profitable), Plowhorses (popular but low profit), Puzzles (profitable but slow), and Dogs (neither). Use it to decide what to push and what to cut.

What is a Liquor Audit?

Managers can start an audit to snapshot all liquor levels at that moment, run business as usual, enter any deliveries received during the audit period, and then close and calculate. PourIQ compares starting levels plus received against current to show actual usage. Reveals the true cost of your liquor program and surfaces shrinkage or over-pouring.

Open Bottles, Pours, and Waste Tracking

How does BTG tracking work?

BTG tracks every open bottle, every pour, and every ounce of waste. Access it from Wine, By the Glass. You see all open bottles with remaining ounce gauges, record pours at preset sizes (for example 5 oz at $12 or 8 oz at $18), track waste, close bottles, and see a dashboard with efficiency metrics.

How do I open and pour a bottle?

Find the wine in the BTG list and tap Open. This creates a new open bottle (25.36 oz for standard 750 ml), decrements your wine inventory by one, and starts tracking remaining ounces. Glass Only wines do not decrement inventory when opened, which is handy for wines that are always BTG.

On each open bottle card, tap the pour size button. The gauge updates instantly. A Taste button records 1.5 oz at $0 for complimentary pours. If a pour is larger than what is left, PourIQ automatically opens a new bottle and splits the pour across both. Tap Undo in the top toolbar, then Last BTG Pour, to refund ounces to a bottle.

What are quality alerts?

Bottles get a red border and an alert based on how long they have been open. White wines alert after 48 hours. Red wines alert after 72 hours. Close them and log the remainder as waste so your numbers stay clean.

How do I track waste and close bottles?

Waste. Record ounces lost from spills, spoilage, tasting, or comps. Close. Closes the bottle. Any remaining ounces are logged as waste. Cancel. Opened by mistake. Returns the bottle to inventory.

Bottles auto-close when less than one ounce remains.

How do managers manage BTG wines?

Two ways. Enable Wine picks a single wine and sets pour sizes. Bulk Manage lets you check or uncheck multiple wines at once with default pour sizes (5 oz at $12, 8 oz at $18) that you can edit later. The BTG Dashboard shows open bottles, pours today, efficiency percentage, total poured, and total wasted.

Counting

Quick, Smart, and Team Counts

Quick Count

Fast solo counting for managers. Launch from a category tab or Tools. Select a zone, enter quantities for each item (changed items highlight green), then save. PourIQ updates all quantities and records variances.

Smart Count

AI-powered counting that identifies the 20 highest-risk items to count today. Items score higher when they are high value ($50, $100, $200 and up), high movement, have previous variance, or have not been counted in 14 or more days.

Team Count

Multiple people count different zones at the same time on their own devices. Only managers can create the session. Staff tap Join Count on their category tab to enter. Each person picks a zone. Updates broadcast in real time.

How do I start a count?

Only managers can start counts. Three methods live on every category tab (Wine, Beer, Liquor): Quick Count, Smart Count, and Team Count. Counts launched from a category tab are automatically filtered to that category. To count everything at once, use Tools, Counting. Staff cannot start counts. They can only join active Team Count sessions.

How do staff join a count?

Go to any category tab. Look for Join Count. It shows how many active sessions exist. The button is grayed out if no manager has started a count. Tap it to enter the session and pick a zone. Quick Count and Smart Count are manager only.

Restock & Ordering

Ordering by Usage, Par Levels, and Exports

How does restock by usage work?

Ranks items by days of supply remaining based on your actual 30-day usage data. Items with no usage in 30 days are skipped automatically, even if they are below par.

Critical. Out of stock with recent sales. Order immediately. Order Now. Less than 3 days of supply. Place an order today. Order Soon. 3 to 7 days of supply. Include in the next order. Monitor. 7 to 14 days of supply. Watch, do not order yet.

What about restock by par?

Traditional view showing items below their par level. Best for staple items you always want in stock regardless of usage rate, like house vodka or well whiskey.

How do I build and export an order?

Review the list (sorted by urgency, with on-hand quantity, weekly usage, days of supply, and cost), tap items to select them (green checkmark appears), use category buttons to filter if needed, then export. PourIQ generates a printable order list grouped by supplier with contact info.

What does Analytics show?

Usage trends across any period, from 3 days to 90 days.

Bottles used, unique items moved, total cost, revenue. Smart Par Levels. AI-suggested pars based on daily usage, 7-day lead time, and a buffer. Running Low. Items with under 4 weeks of supply. Top Movers. Highest usage items with weekly rates. Dead Stock. Items with no movement and capital tied up.

What does COGS track?

Total cost of goods sold, revenue, pour cost percentage, gross profit, and margin for any period. Breaks down by category and top items. A healthy pour cost sits under 25%. 25 to 35% is caution. Over 35% needs attention.

What is variance analysis?

Compares actual inventory usage against POS sales to surface shrinkage, over-pouring, or theft. Shows per-item variance and the dollar impact.

How do I see inventory value?

Inventory Value shows your total cost value, retail value, potential profit, and average margin. Break it down by category, varietal, case, or supplier.

What reports can I export?

Monthly summaries, shift history, and printable reports. Export full inventory, count sheets, or analytics as CSV.

How does the barcode scanner work?

Scan product barcodes to look up items, receive stock, or count. Uses your device camera. Barcodes that match existing inventory let you adjust quantities directly. New barcodes can be linked to existing items.

How does Invoice Scan work?

Take a photo of an invoice or paste invoice text. PourIQ uses OCR to pull item names and quantities, matches them against your inventory, and receives all items with one tap.

How do I do a CSV import?

Upload the CSV, map columns to fields (name, varietal, cost, quantity, and so on), preview the data, and import.

How do I manage suppliers?

Store supplier contacts: company, rep name, phone, email. Link inventory items to suppliers so restock orders group correctly on export.

What is the Manager Panel?

Central admin hub for shift schedule, team (add, remove, change roles, reset passwords), archived items (restore or permanently delete), and recent audits (count variances and notes).

What does the Tools screen show?

Managers see a full grid split into Counting (Quick, Smart, Team, Tenthing, counts all categories when launched from here), Analytics and Reports (Analytics, Reports, COGS, Value, Variance, Activity Log), Operations (Restock, Receive, Prep List, Scanner, Prices), and Admin and Setup (Manager, Suppliers, Invoice Scan, Import, Alerts, Toast POS, Help Center). Staff see a trimmed view with Scanner and Activity Log only.

Manual and Automatic Shifts

How do manual shifts work?

Managers start a shift by tapping Start Shift in the top toolbar. That unlocks inventory adjustments for all staff. Tap End Shift to close. A summary window opens with bottles used, bottles added, and a per-staff breakdown.

How do automatic shifts work?

Set a weekly schedule in Tools, Manager, Shift Schedule. Configure start and end times for each day. Auto shifts show an (auto) label in the shift pill. Manual start and end buttons still work as overrides. If no one has the app open when a shift should start, PourIQ catches up as soon as someone opens the app.

What is in the shift summary?

When a shift ends, a printable summary shows the time range, total bottles used and added, total actions and audits, and a per-staff breakdown of who used and added what.

Offline & Sync

Offline Mode, Sync, and Updates

Does PourIQ work offline?

Yes. When offline, you can browse your inventory from cached data. Adjustments queue locally and sync when you are back online. The sync indicator shows Offline with a count of queued changes. When connection returns, everything syncs automatically.

What does the sync indicator mean?

Green Live. Connected and synced. Orange Syncing. Pushing or pulling data. Grey Offline. No connection, changes queued.

How do app updates work?

PourIQ updates on its own. It checks every time you open the app or switch back to it. Background checks run every 60 seconds. When an update is found, the page reloads with the new version. No manual cache clearing needed.

Adjusting, Editing, and Auditing Items

What is on an item card?

Name, varietal, vintage (wine), region. Quantity box. Current quantity and par level. Red for OUT, orange for LOW. Minus one and plus one buttons. Quick adjustment. Swipe left or right also works. Cost and retail with margin percentage (managers only).

What manager actions are available on an item?

Edit. Full edit modal for name, cost, retail, par, case, location, and more. Par. Quick-set the par level. Audit. Count this item and record variance. Archive. Remove from the active list. Recoverable. Plus six, plus twelve, custom. Bulk add for receiving stock. Notes. Add notes to an item. Favorite. Pin the item to the top.

What staff actions are available on an item?

How do I track kegs in PourIQ?
Go to Beer Kegs, tap Tap New Keg, select the beer, keg size, tap number, and cost. Each keg card has Pint, Half, Taster, and Growler pour buttons. Kegs auto-kick under 1 pint remaining. Stats include pints remaining, days on tap, yield percentage, and cost per pint.
Can PourIQ detect shrinkage or over-pouring?
Yes. Variance analysis compares actual inventory usage against POS sales to surface shrinkage, over-pouring, or theft. It shows per-item variance and the dollar impact. The Liquor Audit tool also reveals true usage of your spirits program over a defined period.
